Smile Backup Authored Content
Great question. The initial backup of data when the service is first set up can take anywhere from a few minutes to an hour or so. After this first time it becomes much faster thanks to our custom built versioning software which backs up any changes instead of the full file again. This is great for saving on both time and bandwidth! For more information about backups in general, read our helpful article here or download our helpful PDF here.
Smile Backup is incredibly user friendly; we know that not everyone is too tech-savvy, so we’ve designed our software with the user in mind. You can always open the program and manually click to backup when needed, but we find that most companies simply use our schedule feature to backup automatically. No mess, no fuss, and nothing to go wrong.
Encryption is a fantastic tool for protecting data from any sort of outside threat, but it can be hard to wrap your head around. Simply speaking, when you backup your data using Smile Backup, the client on the computer takes that data and splits it into chunks. These chunks are then ‘scrambled’ using a 128-bit cipher and sent to our secure servers. This cipher is one of the worldwide standards for data security; Advanced Encryption Standard or AES.
Once the data reaches the servers, it is already encrypted, so we don’t have access to the data in a readable form. It would take all of the worlds computers anywhere from decades to centuries to decrypt just a single chunk of this data, but if you have the key it takes a fraction of a second for most files. Encryption is great because it not only protects data in transit, but also means that only the user has access to their data, even if someone got hold of the encrypted version.
Virtually any platform! Smile Backup allows the user to access their files from anywhere, as long as they have their password. Windows, Linux, MacOS, Android, IOS all have full functionality in accessing files.
Versioning is a nifty little concept which dramatically decreases the amount of space needed to store things, giving you more value for your money. Instead of saving a full version of every file as with most backup providers, Smile Backup saves a master copy of each file, and then saves any edits to the original. Drives fill up fast when you back up the same file every day, so why not save on space and time by only keeping the changes! This way, if anything goes wrong before you backup, you can restore a previous version of the file, and even see which edits were made and when. You can read more about our custom versioning software here.
First, don’t panic. All of our backup packages come with 30 day delete retention (DLR) as standard, with the option to keep files for up to a year! Even if you’ve deleted the file from your backup, then you can restore an old version instantly with a few simple clicks. We even have email alerts as standard to show you which files have been backed up, so you know exactly what’s happening every step of the way.
Absolutely. If a client needs a copy of their data for any reason, be that GDPR compliance or access requests, we can copy your private drive and either courier it to you, or you can pick it up at our data centre.
Depending on the needs of the company, Smile Backup can cost as little as £65/month, or about a cup of coffee a day for a business. With this you get a fully secured, GDPR compliant cloud storage solution, 250GB of storage space, 30 day DLR, versioning history, email alerts and loads more. Multiple devices can use this 250GB, so you don’t have to be limited to just one computer.
Backup should be considered the first and best line of defence. When it comes to cyber-security, it’s always best to assume the worst. Antivirus, firewalls, malware protection and phishing filters all help to stop a threat from entering the system, but if it does then the only solution is to restore from a backup. Having a secure, encrypted, off-site backup like with Smile negates all threats entirely, even Ransomware.
Smile Backup is completely custom built from the ground up, having been a long term project by our lead engineer. By using the Advanced Encryption Standard as part of its algorithm our backup service is shown to be fully secure, and combined with our ISO 9001 & ISO 27001 accreditations you know you can trust our service with your data.
All of our servers and operations are completely UK only, meaning your data never leaves the country; a great thing for data protection and the upcoming GDPR. Our servers are located in our data centre in Gainsborough, Lincolnshire. We also have multiple co-locations nearby, meaning you always have 100% uptime and access to your private server space.
Redundancies are extremely important to us here at Smile, and simply put are ways in which we maintain 100% uptime of the servers despite any issues. For instance, our main data centre is powered by grid power, but in the event of a power cut there is a state of the art emergency generator which can power the servers for days (until the power comes back). All of our systems have multiple layers of redundancies built in, from our powered co-locations, to delete retention, to our security and lockdown procedures.
